Getting Started

We believe that healing occurs relationally, through being accepted when one is their fully Authentic Self. A common thread runs through wibeto: therapy, psychiatry, ketamine services all incorporate a heart-centered approach where we meet each individual on their own unique timeline and naturally go to only the places one is ready to go to.

We are considered in-network with Blue Cross Blue Shield PPO and Blue Choice Plans, Below you will find the self-pay fee schedule associated with all services/providers.

INSURANCE:

We only accept Blue Cross Blue Shield PPO and all of its varieties (not HMO). We do not accept any HMO policies.

As a patient, it is your responsibility to review your insurance benefits and handle any expenses following the processing of a claim. Wibeto Practice is not responsible for informing you of your insurance benefits however we are happy to check your benefit coverage before your first appointment. For more information, please contact your insurance company.

The total fee for the session is due at the time of service (sorry, we do not accept payment plans of any kind). This does not apply when using your Blue Cross PPO insurance.

PLEASE NOTE: Your insurer will not pay anything if you haven’t yet met your deductible.  You will be required to pay the contracted rate and that will go towards your deductible. If you have met your deductible, your insurer will pay their share after you’ve paid your copay/coinsurance.

FIND YOUR OUT OF NETWORK BENEFITS:
Call the customer service phone number on the back of your insurance card.
Tell them you want to find out what your out-of-network benefits are for Outpatient Psychiatry Visits (where psychotherapy is a pillar of each appointment). The most common intake CPT codes are 99204 + 90838, follow-up CPT codes are 99214, 90833. You will also want to know how much of your deductible has been met.

If you are paying ‘out of pocket’ (without insurance), we can give you a Superbill - The default rates for all providers are listed above and are subject to increase. This may be submitted by you, to your insurance for a potential reimbursement or applied to your deductible. Many insurance companies will reimburse anywhere from 30-80% of treatment costs.
You may call your insurance company for any related questions or confirmation of policy rules. We don't submit insurance claims for those paying out of pocket.

Once established as a patient, if any changes are made to your insurance coverage, you must notify us in advance. Failure to alert us of changes in insurance will result in out-of-pocket pricing for subsequent appointments (which we will charge up front).

PAYMENT: All major credit cards are acceptable ways of making payments.

Of note: There are no pre-consultations or free appointments.

BILLING FOR KETAMINE:

Ketamine sessions are only paid out of pocket (unfortunately, the landscape of ketamine right now doesn’t allow for insurance coverage - we hope it happens soon too). You will be charged the full amount up front for the first session.

BILLING FOR TMS:

After assessments from your clinical psychiatric provider, it will be determined if you are a candidate for TMS treatments. If you are, our team will submit a prior authorization to see if your insurance will approve.

If you do not get covered by insurance, there is always the option to pay out of pocket. We can also resubmit it to insurance after successive attempts to treat your refractory depression (we are currently working on getting it covered for refractory OCD too - please inquire).

Cancellation Policy (in depth):

When you make an appointment with us, we reserve that time slot exclusively for you. As is common practice, we require a minimum of 24-hour notice to cancel or reschedule your scheduled session. Failure to cancel without the required 24-hour notice will result in a credit card charge for the full cost of the session (there is a slightly reduced fee if you do let us know you will not be able to make the appointment) - this is NOT covered by your co-pay and cannot be billed to your insurance.
This policy allows our practice to offer the available time slot to waitlisted individuals in need of an appointment. Your patient portal is where you will Reschedule or Cancel ahead of time!

NOTE: the cancellation fees correlate with the rates for each individual provider.

Important Appointment Information

HOLISTIC CARE:
In order to tend to the entirety of the mind-body connection, we want to ensure you are receiving regular care from a Primary Care Physician / Pediatrician and a Gynecologist (if applicable).

STIMULANT / BENZODIAZEPINE POLICY:
We are mindful in prescribing stimulants (ie. Ritalin, Adderall, Vyvanse) and we have a high threshold for managing benzodiazepines (ie. Xanax, Ativan, Klonopin) medications.
Some people will require dual diagnosis or detox facilities to stabilize first (please consult with Positive Sobriety Institute).

HIGHER LEVEL OF CARE TREATMENT PLANNING:
If your provider determines that you require higher levels of care than what our outpatient office can provide, we expect you will follow through - this is out of care and concern given our experience in recognizing when outpatient levels of support are not adequate.
Some people will require higher levels of care immediately (please consult with Skyway Behavioral Health (adult only), Compass (programs for all ages), Plena (child & adolescent).

CHILD & ADOLESCENT APPOINTMENTS:
Yes, both parent and child are expected to be present at the first appointment (unless there are extenuating circumstances). We trust that the family system will naturally dictate what’s appropriate.

When you make an appointment with us, we reserve that time slot exclusively for you. As is common practice, we require a minimum of 24-hour notice to cancel or reschedule your scheduled session. This policy allows our practice to offer the available time slot to waitlisted individuals in need of an appointment.
